FREE FIELD GUIDE
Before you bid.
Eight checks for a public cleaning contract. Use them to spot requirements before you spend hours pricing the work.
Use the issuing agency’s current documents for the actual requirements. This checklist helps you organize your review.
Start with the current notice.
Save the issuing agency’s notice and every attachment. Record the solicitation number, deadline and time zone. Check the official portal again before submitting.
Check whether you qualify.
Look for business-size restrictions, certifications, registrations, insurance and experience requirements. Confirm that your company can meet the conditions by the required date.
Find the mandatory visit.
Check the walkthrough date, RSVP instructions, location and attendance rules. If a required visit has passed, ask the issuing contact whether you can still submit before investing in a proposal.
Read every amendment.
Compare revised deadlines, tasks and pricing sheets with the original documents. Note any amendment acknowledgements that must be included in your submission.
Map the work to the schedule.
List each building, task, frequency and permitted working window. Separate routine cleaning from periodic floor care and special services. Identify who supplies equipment and consumables.
Build the price from the work.
Estimate labor hours, supervision, travel, supplies, equipment, insurance and overhead. Check any wage schedules or other labor requirements in the solicitation. Use the agency’s required pricing format.
List every submission item.
Check signatures, forms, references, certifications, pricing files and file-size limits. Verify the required delivery method and submission address directly in the official documents.
Resolve gaps before the question deadline.
Send unclear requirements to the agency’s designated contact using its stated process. Recheck published answers and amendments. Save proof of timely submission.
